How it works
The access control feature limits the view of admins to users that share certain fields as listed in the HRIS database.
For example, your company has headquarters in 5 different countries worldwide. You want your HR manager from the UK to be able to only see employees/users from the UK on the DS platform, your HR manager from Canada should only see Canadian employees/users, and so on. You can limit their access to a certain country by setting up a user access control feature.
Note: To be able to set this up, you need to be an account owner or an account admin. Let us know if you would like to use this feature so we at Deeper Signals can activate it for your account.
How to set up access control
To set it up, go to “All Users”, choose the admin whose access you want to limit, then go to “Access and Groups” and scroll down to “Access control filters”.
In the “Filter by fields” menu, choose the type of variable that you want to start filtering by (for example, country, department, global region, etc.).
In the “Filter by field values” menu, you can further filter the variable. For example, if you chose to filter by country, in this field you can choose the country Canada. You can also add multiple field values (for example, more than one country).
To finish, click “Apply filter”.
Following the above screenshot, when this admin logs in the next time, they’ll only be able to see the users that work in EMEA or APAC regions.
Select filtering logic
There are two access control options: the default "AND" logic which is displayed as "Match by all" option and "OR" logic which is displayed as "Match by any" option.
Use "Match by all" when you want to set up a stricter access control over your user base. For example, if you set someone's filter to region - EMEA, and group - Operations with "Match by all" logic, this person will only be able to see users that belong to both EMEA and Operations group. If they belong only to EMEA, but not to Operations group, they won't be able to see them, they need to belong to both.
Use "Match by any" when you want to widen the scope of user access to several segments at once. For example, if you set someone's filter to region - EMEA, and group - Operations with "Match by any" logic, this person will be able to see users that belong to EMEA and also users that belong to Operations group.
Note: Logic can be set via appearing dropdown when at least two filter parameters are defined and can be changed at any time. Only one logic can be used as a filter at any time.
