Manage users in a candidate selection campaign

Track candidate progress, review results, update hiring statuses, and manage users in your candidate selection campaign.

Overview

After sending email invitations from your candidate selection campaign, you can track each candidate's progress, review their results, and manage their hiring status from the Campaigns tab.

To get started, open Campaigns and select the campaign you want to manage.


Understand candidate progress

At the top of your campaign, you can see how many candidates are at each stage:

  • All users: the total number of candidates you invited in that campaign.

  • Unused: the number of candidates that haven’t registered yet.

  • Signed up: the number of candidates who have registered but haven’t started taking an assessment yet.

  • In Progress: the number of candidates that are currently taking an assessment, or they haven't completed all the assigned assessments yet.

  • Completed: the number of candidates that completed all assigned assessments.

The campaign table also gives you more information about each candidate:

  • Rating: Rate a candidate from one to five stars.

  • Role Match: The average score of the required capabilities for the selected role. The closer the score is to 100%, the stronger the match. This column is empty if you didn't select a role when creating the campaign.

  • Overall match: The average score across the selected role and any additional capabilities. This column is empty if you didn't select a role or additional competencies.

  • Hiring status: Track where the candidate is in your hiring process.

  • Completions: See how many assigned assessments the candidate has completed.

For example, if you selected Software Engineer as the role, Role match shows how well the candidate matches the capabilities required for that role. If you also added competencies in the Measure Competencies step, Overall match takes both the role and those additional competencies into account.


View candidate details

Select a candidate to see more information about their progress and results.

The Details tab shows the candidate's assigned assessments and completion status. You can also:

  • Update their Hiring status

  • Give them a Rating

  • Add notes

  • Review their Role match and Overall match

Role match is the mathematical average of the required capabilities for the selected role. The closer the score is to 100%, the stronger the match.

Overall match is the average score across the selected role and any additional competencies.

You can also contact the candidate from this page:

  • Click Follow up to send a follow-up email

  • Click Copy link to copy a link the candidate can use to register


Scores

Open the Scores tab to see a summary of the candidate's scores across all assessments assigned in the campaign, including their competency scores.


Progress

Open the Progress tab to see a history of actions taken by the candidate or the system.


Change a candidate's hiring status

You can update the hiring status of one or multiple candidates to keep track of their progress through your hiring process.

Update multiple candidates

  1. Open the campaign.

  2. Select the candidates you want to update.

  3. Change them to the desired hiring status.


Reject candidates

To reject one or multiple candidates:

  1. Select the candidates you want to reject.

  2. Click Reject.

  3. Choose whether you want to send a rejection email.

  4. To send an email, toggle Send rejection email.

  5. Click Customize rejection email and edit the message.

  6. Click Reject and send.

You can also reject candidates without sending an email.


Hire a candidate

To hire a candidate:

  1. Open the candidate's profile.

  2. Select Hire.

  3. If you want to assign the onboarding Dynamo goal, select Assign Onboarding.

  4. To send an email, toggle Send email to this candidate.

  5. Click Customize hiring email and edit the message.

  6. Click Hire and send.


Important: Once you hire a candidate, their user status changes from Active candidate to Active user. You won't be able to change their hiring status after that.



Remove users from a campaign

You can remove candidates who haven't registered yet.

  1. Open the campaign.

  2. Select the users you want to remove.

  3. Click Remove.


Important: You can only remove users with an Unused status. Removing a user from a campaign doesn't delete the user or their results. You can still find them in the All users table.



FAQs

What's the difference between Role match and Overall match?

Role match is the average score across the capabilities required for the role selected in the campaign.

Overall match considers both the selected role and any additional capabilities added to the campaign.

Why can't I see a Role match score for a candidate?

The Role match column will be empty if you didn't select a role when creating the campaign.

Why can't I see an Overall match score for a candidate?

The Overall match column will be empty if you didn't select a role or additional capabilities when creating the campaign.

What's the difference between candidate progress and hiring status?

Candidate progress, such as Unused, Signed up, In progress, and Completed, shows where a candidate is with their assigned assessments.

Hiring status lets you track where the candidate is in your hiring process.

Can I change the hiring status of multiple candidates at once?

Yes. Select the candidates you want to update in the campaign, then change them to the desired hiring status.

Can I reject multiple candidates at once?

Yes. Select the candidates you want to reject and click Reject. You can reject them without sending an email or customize and send a rejection email.

Can I change a candidate's hiring status after hiring them?

No. Once you hire a candidate, their user status changes from Active candidate to Active user, and you can no longer change their hiring status.

Can I remove any candidate from a campaign?

No. You can only remove candidates with an Unused status, meaning they haven't registered yet.

Does removing a candidate from a campaign delete their data?

No. Removing a candidate only removes them from that campaign. It doesn't delete the user or their results, and you can still find them in the All users table.

Where can I see a candidate's assessment scores?

Open the candidate's profile and select the Scores tab to see their scores across assigned assessments and competencies.

Where can I see a candidate's activity history?

Open the Progress tab in the candidate's profile to see a history of actions taken by the candidate or the system.
